Manage retention, exports and deletion

Use the right data controls and avoid confusing an export with a public share.

Step by step#

  1. Review retention settings

    Owners configure candidate retention in company settings. The candidate period runs from profile creation. Media settings have their own supported limits; read the displayed values before changing them.

  2. Open the correct candidate

    Verify identity and the relevant applications before exporting or deleting information. Never use a similar name alone as proof of identity.

  3. Use the candidate data export

    The candidate export produces JSON for the data-access workflow. It is different from the approved, branded staffing handoff and may contain broader candidate information.

  4. Follow the deletion controls

    Owners can open Settings → Privacy, locate the candidate and use the delete control with its confirmation. Check the result and follow your organization’s handling of copies already exported to other systems or recipients.

A controlled data lifecycle#

Retention settings and deletion actions govern stored data; they do not retract a file already downloaded by someone. Expired recordings may no longer be playable even if other interview information remains.

A recording is expired or data access is denied#

Respect the retention or access limit. Contact the owner or privacy contact for the next step instead of re-uploading an old recording or exposing it through a public link.
